The Orders tab of a store

Import

FieldDefaultWhat it does
Import Orders AutomaticallyOnEvery 15 minutes Odoo asks Shopify for orders created or changed since the last check. This is the safety net next to webhooks: orders placed while Odoo was offline or while a webhook failed still arrive.
Import Orders FromThe moment the store was createdThe scheduled check never goes further back than this date. Set it before the first check if you want older orders; leave it if you only want new orders.
Last Order CheckEmptyRead only. When the scheduled check last ran. The next check starts from here (minus two minutes, so nothing on the edge is missed). Empty means the next check starts from Import Orders From.
Order PrefixSH-Added in front of the Shopify order number to build the Odoo order reference, for example SH-1001. The plain store number is also kept in Customer Reference and Store Order Number. Change it before the first import: existing orders keep their names.
Order WarehouseThe first warehouse of the companyImported orders are delivered from this warehouse.
PricelistEmptyThe pricelist of imported orders, and the regular prices sent to the store (see prices). When an order comes in another currency, Odoo uses a pricelist in that currency instead (see below).
Orders in another currency

When an order's currency differs from the store Pricelist, Odoo takes the first pricelist of the company in that currency. If there is none, Odoo creates one named after the store and the currency (for example Northwind Store CAD) and activates the currency if needed. If the currency does not exist in Odoo at all, the order stops with Currency XXX does not exist in Odoo.

Sales

FieldDefaultWhat it does
Sales TeamEmptySales team of imported orders.
SalespersonEmptySalesperson of imported orders. Empty: the salesperson of the customer, if the customer has one, otherwise none. The background jobs never set themselves as salesperson.
Payment TermEmptyPayment term of imported orders. A payment term on the payment method wins over this one.
Fiscal PositionEmptyOptional. Empty: Odoo picks one from the customer address, as for any sales order.
Default Payment JournalEmptyGiven to every payment method Odoo sees for the first time in an order, and Register Payment When Paid is switched on for it when a journal is set. Change it per method later in Configuration > Payment Methods.

Taxes and Extra Lines

FieldDefaultWhat it does
Tax ModeUse the taxes charged by the storeUse the taxes charged by the store: every line gets the Odoo tax mapped to the tax Shopify charged. Use the Odoo product taxes: lines get the taxes of the Odoo product and fiscal position, as in a manual quotation. See taxes.
Create Missing TaxesOnOnly with store taxes. When no Odoo tax matches a store tax, Odoo creates one. Off: the order waits in the queue until you map the tax.
Shipping ProductShipping (online store) CB-SHIPProduct of shipping lines, unless the shipping method has its own product.
Discount ProductDiscount (online store) CB-DISCProduct of the discount lines.
Fee ProductFee (online store) CB-FEEProduct of extra fee lines, for platforms that send fees.

Status Changes

FieldDefaultWhat it does

Cancel in the Store When Cancelled in OdooOnCancelling an imported order in Odoo cancels it in Shopify.
Send Deliveries to the StoreOnWhen the delivery of an imported order is validated in Odoo, the delivery (with tracking number) is sent to Shopify.

Send Credit Notes to the Store as RefundsOnPosting a credit note for an imported order creates a refund in Shopify.
tip

What Odoo does after an order is imported (confirm, deliver, invoice, register the payment) is not on this tab. It is set per payment method in Configuration > Payment Methods.

Shopify fields on the Orders tab

FieldDefaultWhat it does
Confirm Unpaid Orders ShopifyOnUnder Import Orders From. Orders whose payment is pending in Shopify (cash on delivery, bank deposit, other manual payments) are confirmed in Odoo, so the warehouse can ship them. Off: they stay quotations until Shopify marks them paid. See Order status.
Refund the Payment When Cancelling ShopifyOffUnder Cancel in the Store When Cancelled in Odoo. When Odoo cancels the order in Shopify, Shopify also refunds the payment to the original payment method. Off: the order is cancelled without a refund.
Refund the Money Through Shopify ShopifyOffUnder Send Credit Notes to the Store as Refunds. On: the Shopify refund moves the money back through the original payment. Off: Shopify only records which items were refunded. See Refunds.
Restock Refunded Items in Shopify ShopifyOffRefunded items are put back in Shopify stock (restock type Return). Off: no restock in Shopify. Odoo stock is not changed by this setting.

Products tab

The Products tab of a Shopify store

The Products tab decides how Shopify products are matched with, and created as, Odoo products.

Matching

FieldDefaultWhat it does
Match Products ByInternal Reference, then Barcode = SKUInternal Reference = SKU: a store product matches the Odoo product whose Internal Reference equals its SKU. Internal Reference, then Barcode = SKU: when no internal reference matches, Odoo also tries the Barcode.
Import Unknown Products With OrdersOnWhen an order contains a product that is not linked yet and no SKU matches, Odoo imports that product from Shopify first, then the order. Off: the order waits in the queue with Products not found in Odoo.
Category for New ProductsEmptyProduct category of products created by an import. A store category mapped to an Odoo category wins (Catalog > Store Categories). Empty: Odoo's default category.
Import ImagesOnDownloads the main image (and variant images) of products Odoo creates, and of linked products that have no image yet. Images over 10 MB or files that are not images are skipped.

Prices

FieldDefaultWhat it does
Send Prices AutomaticallyOffEvery hour, Odoo sends prices that changed. Off: prices are sent only when you ask.
Sale Price PricelistEmptyOptional. When this pricelist gives a lower price than the store Pricelist, the lower price is sent as the sale price.

The regular price comes from the Pricelist on the Orders tab, or the product's Sales Price when no pricelist is set.

Shopify fields on the Products tab

FieldDefaultWhat it does
Product Images ShopifyOdoo uploads them to ShopifyHow the main image and variant images of products sent from Odoo reach Shopify. Odoo uploads them to Shopify: Odoo uploads the file itself (works when Odoo is not public). Shopify downloads them from Odoo: Shopify fetches a signed link (Odoo must be reachable from the internet). Do not send images.
Status of New Products ShopifyDraftStatus of a product created in Shopify from Odoo when you send it as Draft. Choose Active to publish new products directly. Sending with Published always makes the product Active. See Send products.

Stock tab

The Stock tab decides which quantity Shopify shows for each linked product.

FieldDefaultWhat it does
Send Stock AutomaticallyOnOdoo sends stock when it moves in Odoo (about a minute after the move), and every hour as a safety net.
Stock SourceFree to use (on hand minus reserved)Free to use: on hand minus what is already reserved for other deliveries. On hand: everything in stock. Forecasted: on hand plus incoming minus outgoing.
Stock From WarehousesEmptyThe quantity is the sum of these warehouses. Empty: the Order Warehouse only.
Stock BufferSend the full quantityKeep back a fixed quantity or Send a percentage, to avoid overselling the last items.
Buffer Value0The quantity to keep back, or the percentage to send. Cannot be negative.

Quantities are rounded down to whole units and never go below zero.

Shopify locations

Below the stock fields, the Shopify locations list shows every active location read from Shopify, with Fulfills Online Orders, Stock From Warehouses, Send Stock and Active. Read Locations and Markets Again reads them again. How quantities go to each location is explained in Locations.

Markets tab Shopify

Odoo PricelistThe prices sent to this market. Must be in the market currency. Empty: Shopify keeps converting your store price.
Compare-at PricelistOptional. When it gives a higher price, that price is sent as compare-at (crossed out).
